A short-let manager clearing one furnished flat

Separate landlord stock from the furniture you are replacing, name the one unit, and book the pieces that have to leave before the date you were given.

An old beige sofa prepared for removal beside an open apartment doorway and a cleared living-room space.

You manage one furnished flat, and some of the furniture has to leave before the date you were given. Name that one unit. Split the landlord’s inventory, which stays, from the furniture you are replacing and from anything a guest left. Book only the pieces you are allowed to send.

A photo of a sofa in a listing does not show whether that sofa is still the one in the room, or who is allowed to let it go.

Name the flat and who may book it

Write the building, the floor and the unit before you describe a sofa. “The holiday flat” is not an address. If you look after more than one unit, this page is still one of them. A second flat is a second note, with its own photos and its own date. Do not merge two towers into one message and expect the pieces to be sorted on the landing.

Say who you are in the booking: the owner, or a manager booking with the owner’s instruction. If you are not the owner, keep the instruction with the request. It should say which unit, which pieces may go, and who can be called on the day. Keys are not the same thing as permission to discard furniture. A spare set lets you open the door. It does not decide the inventory.

If you do not operate the flat, and you are an agent or a representative clearing a home you do not occupy, use the property-clearance guide. That page is the written authority and the contents record for a property you are not running as a let. Stay here when you operate this one furnished flat and the question is which of its furniture is leaving between stays.

A resident clearing furniture another occupant left, while the resident still lives there, is a different note. The flatmate furniture note is that shared home. Do not use a short-let list for a room a flatmate still has clothes in.

This is one flat, not a hotel floor and not a building’s furniture stock. Do not describe a store of spare beds for several units as “the apartment”. If the beds are in this flat, list the beds in this flat. If they are in a storeroom that serves other units, say that the storeroom is a separate place and do not assume it is on the same booking.

Split the three groups

Use three groups, and put them in different parts of the flat if you can.

The first group stays. It is the furniture and fittings on the landlord’s or owner’s inventory: the sofa, bed, mattress, curtains, television and kitchenware the flat was let with, unless you have a written instruction that a named piece is being replaced. Age and wear do not move a piece out of this group. A faded cushion that is on the inventory stays until someone who can change the inventory says it goes.

The second group can leave. It is furniture the operator is replacing: a sofa you bought for the flat, a bed you are swapping, a dining set that is yours and that you have decided not to keep. Write “operator, agreed to go” on those lines. If the owner has to approve the swap, wait for that approval before the piece is in the outgoing photo.

The third group is held. It is anything a guest left: a suitcase, a phone charger, medicines, a child’s toy, a laptop bag. Hold it, tell the guest or the channel you use for the stay, and keep it out of the load. A forgotten jacket is not operator furniture because it was on the operator’s sofa. Do not bag it with cushions you are discarding.

Linen, towels and loose kitchenware are their own lines. A bag of worn towels you have agreed to discard is not a sofa. A set of pans that belongs with the inventory stays in the cupboard. Photograph the bag if it is leaving, and say it is linen, not furniture, so the volume is honest.

Glass tops, a balcony table and loose chairs can sit in the second group only when they are yours to send. If they are on the inventory, they stay. Photograph chips and loose feet so the note matches the piece. Do not include a bolted balcony frame, a shade structure or decking. Those are not loose furniture, and this page does not add them.

A television, a coffee machine or a hair dryer leaves only if it is in the group you are allowed to send, and only if it is unplugged and yours or the owner’s to discard. Do not cut a cable. Do not remove a fitting that is part of the wall. A cooker hood, an oven and a fitted air-conditioner are appliance jobs with their own preparation. Leave them off this list unless that preparation is already agreed, and then describe the appliance on its own line rather than as “kitchen contents”.

The date you were given is the date you send

Write the date and the time the flat has to be clear, as you were given them. Do not replace that with a guess about how long a turnover takes. Ask whether a collection can be done before that point. If the answer is no, the furniture problem is still this page, and the date has to move or the list has to shrink. Do not tell a guest the flat is clear because a request was sent.

Cleaning is not this booking. A crew that takes furniture does not hand the flat to the next guest. Book the clean with whoever does the clean, and say in your note whether the clean is before or after the furniture leaves. If the cleaner needs the sofa gone first, the collection has to be the earlier appointment. Say that. Do not assume the two bookings know about each other.

Painting, a handyman, and a new sofa delivery are the same kind of dependency. If a replacement sofa is arriving, the piece that is leaving should go first, and the two crews should not be booked into one lift slot you have not checked. Say the delivery window. Read the doorway limits before you promise the new piece will enter the same day. This page does not book the delivery.

If the owner’s instruction arrives after you have already sent photos, send the change as a new note: what was added, what was taken off. A quote for one sofa is the wrong plan for a sofa plus a bed that was approved later the same afternoon.

Remove the operator’s furniture

When the outgoing group is only the pieces you are allowed to send, remove the operator’s furniture. Say it is one furnished flat. Say you operate it, or that you are booking with the owner’s written instruction. List the pieces in words. Attach the wide photo of that group and a separate photo of anything that stays, so the two are not one room of “old furniture”.

The furniture page is the carry of those pieces. It is not a contract to reset the flat, and it is not a standing route for the other units you manage. The next flat, even in the same building, needs its own list. If you want two units on one visit, say so at the start, with two addresses and two inventories. Do not add the second unit at the door.

Name the largest rigid piece and the way out: service lift, passenger lift, or stairs. If a sofa will not pass the door, stop and use the sofa doorway guide for the measurements and the photographs of the turn. Do not repeat that guide here. Send its facts with this flat’s ownership note. A sofa on a landlord inventory that must stay is not a doorway problem. It is a piece you leave in the room.

If the building has no goods lift, say so, and use the stair guide for a building with no goods lift. If a lift has to be booked, ask the building what it wants and use the service-lift booking guide for that step. Send the answer you were given. Do not copy another building’s rule onto this one.

Guest linen and a broken lamp can travel with the furniture only if you have listed them and they are waste you are allowed to send. A suitcase you are holding does not travel with them. Point at the hold spot on the day and keep it shut.

Usable pieces can be mentioned as usable. The furniture page asks you to say when a piece is still in good condition, because loads are sorted and usable furniture is passed on. Say it if it is true of a piece you are discarding. Do not claim a buyer, a donation partner or a price. If you are trying to sell the sofa, it is not on this list while the sale is open.

When the flat is in JBR

Use the JBR area page when this flat is in Jumeirah Beach Residence. That page already describes short-let turnover there, and a service lift that hotel-style management treats as a booked amenity. Read it for that community. Do not paste it onto a flat in another district, and do not add tower names this page has not been given.

If the flat is not in JBR, do not borrow JBR’s loading notes. Name the building you actually have, the floor, and the entrance the building told you to use. A beach, a mall or a community name without the building is not enough for a truck. Ask where loading is allowed before you describe the route as the guest entrance.

One link to that area page is the whole of the local detail this article carries. Other communities stay off the page. A furnished flat in a tower elsewhere is still this ownership split. The building’s own lift answer is the access fact, and you get it from that building.

Balcony furniture outside JBR is still the three groups. Photograph the pieces and say whether they are loose. Salt, rust and a chipped glass top are condition notes you can see and write down. They are not a reason to skip the inventory. A damaged piece on the inventory stays until the owner releases it.

Photos and the lines to write

Send a wide photo of each room that contains something leaving, taken from the door. Then a closer photo of each outgoing piece. Then one frame of the inventory pieces that stay, if they are in the same room, with a note that they stay. Then the hold spot for guest items, in its own frame.

Write these lines with the photos:

  • Building, floor and unit.
  • Whether you are the owner or a manager with a written instruction.
  • The date and time the flat has to be clear, as you were given them.
  • Pieces that stay because they are on the inventory.
  • Pieces the operator is replacing, agreed to go.
  • Guest items held, and that they are not in the load.
  • Linen or kitchenware only if a named bag is waste.
  • The largest piece, and lift or stairs.
  • A cleaner, a delivery or a second flat, if one of those shares the day.
  • Anything bolted, piped or fixed, left off the list.

A hero photo from the original listing is not the room today. Take the photo in the flat as it is. If a piece in the listing has already gone, do not describe it. If a guest moved the sofa, say where it is now.

Do not send a photo of a guest’s open suitcase to prove it was there. Close it, hold it, and say a suitcase is held. The crew does not need the contents.

If you cannot get into one room, say the note is the rooms you opened. A locked bedroom is not empty because the hall looks clear.

On the day

Walk the three groups before anything is lifted. Point at the outgoing pieces. Open the hold spot and show that it is closed to the load. If the owner changed the list after the quote, say what changed before the first piece moves.

Check the inventory items in the same room. A cushion from the staying sofa should not be in the bag of cushions you are discarding unless you meant that and wrote it down. A television remote is easy to leave on a sofa that is going. Put it with the television that stays.

The person who meets the crew should be allowed to refuse an extra piece, not only to open the door. If that person cannot approve changes, say so. Two managers sending two messages is how an inventory sofa leaves. One voice on the day.

Do not start a second flat because the first one finished early. The second flat was not in the photos. If you want it added, stop and send its inventory before anyone crosses the corridor.

After the agreed pieces have gone, the flat is not “guest-ready” because the sofa left. The clean, the linen and the check you owe the owner are still yours. Look once at the hold spot so a guest item was not lifted with the linen bags. Then tell the owner what went and what stayed. The collection matches the list. It does not replace the inventory.

If a drawer in a leaving piece still has a charger or a document, stop that piece. Empty it into the hold spot. A desk that looked clear in yesterday’s photo can gain a guest’s cable overnight.

The last useful check is the date you sent. If the collection is done and the clean is still ahead, the flat is not clear for a guest yet. If the collection cannot happen before the date, say that to the owner before the guest is told otherwise. This booking removes the furniture you listed. It does not move the date by itself.

Questions

Can two flats share one note?

Only if you say so at the start and send two units, two inventories and two dates. This page is one flat. A second unit added at the door is a different job from the one that was photographed.

What if the sofa is on the landlord inventory?

It stays, unless you have a written instruction that this sofa is being replaced. Wear does not take it off the inventory. Leave it out of the outgoing photos.

What if a guest left a suitcase?

Hold it and tell the guest or the channel you use for the stay. Do not book it with the furniture. A charger, a laptop bag and medicines are the same hold.

Does the collection include the turnover clean?

No. Book the clean separately. Say whether the furniture has to leave before the cleaner arrives. The collection is the pieces on the list, not a ready flat for the next guest.

What if this flat is in JBR?

Read the JBR page for that community’s short-let turnover and for the service lift it already describes. Use this page for the one-flat split between inventory, operator furniture and guest items. Do not copy that area’s loading notes onto a different district.

What if the sofa will not fit through the door?

Use the sofa doorway guide for the measurements, and keep this page for whether that sofa is allowed to leave. A sofa that must stay is not a doorway problem.
